Holiday Retail Planning Starts With the Math

A guide for visual merchandising teams on custom soft goods production timelines for holiday floor sets

Custom soft goods for holiday retail don't appear overnight. Drapery, upholstered fixtures, fitting room curtains, window display props, and fabric-covered display elements all run on a production schedule that varies by scope. A single-location fitting room refresh might move in 4 to 6 weeks. A nationwide rollout across dozens or hundreds of locations needs considerably more runway, often 10 to 14 weeks from approved design through final installation.

Factor in design revisions, material sourcing, and installation coordination, and the window moves faster than most teams expect. The right question isn't "when do I need to order?" It's "when does my floor set go up?" Then work backward from there.

What the Process Looks Like

Every project moves through the same stages, regardless of scope.

Pre-production. Before anything is built, we work through design confirmation, fabric selection, and material sourcing. If you're working from a mood board or bringing reference materials, this is when that gets translated into a spec. This stage takes as long as it needs to, rushing it creates problems downstream.

Fabrication. Once the spec is approved and materials are in hand, production begins. Every piece is cut, sewn, upholstered, or constructed in-house at our Paterson, NJ studio. This is where the production timeline formally starts, and where the scope of the project determines how long it runs.

Delivery and installation. Finished pieces move through quality control, are packaged, and either shipped or scheduled for on-site installation. For projects with installation, we coordinate directly with your store or contractor team.

For multi-location rollouts, every stage scales accordingly. Coordinating fabrication, freight, and installation across multiple sites requires sequencing that a single-location project doesn't. The more locations involved, the earlier the conversation needs to start.

What Retail Teams Are Ordering Now

The holiday projects landing in our studio tend to fall into a few categories:

Fitting room curtains. One of the most visible and highest impact changes a retailer can make before the holiday season. A fabric upgrade in a fitting room shifts the entire feel of the shopping experience. We fabricate ripple fold, pinch pleat, grommet top, and box pleat curtains in any material, to any measurement.

Window display soft goods. Oversized bows, fabric backdrops, draped props, valances, and hanging elements that anchor holiday window installations. These are often the most time-sensitive pieces because window sets go up earliest.

Upholstered fixtures and seating. Ottomans, benches, and seatbacks recovered in seasonal or elevated fabrics. A fast way to refresh a floor without replacing furniture outright.

Display forms and fabric-covered props. Custom wrapped display elements, trays, risers, and pedestals for holiday product presentations.

Decorative soft goods.  Oversized tree toppers, holiday ribbons, fabric banners, ceiling installations, and decorative textile elements that add warmth and visual weight to a holiday floor.

Why Custom Beats Off-the-Shelf for Holiday

Standard display inventory gets picked over early. By the time most retailers are thinking about holiday orders, the sizes, colors, and materials worth having are already gone or backordered. Custom fabrication sidesteps that entirely. You get exactly what your space requires, in the fabric and finish that aligns with your brand, built to the dimensions of your actual space.

For brands where the in-store environment is part of the product experience, that specificity matters more during the holidays than at any other time of year. The store has to earn the visit.

How to Get Started

You don't need a finished spec to reach out. Most holiday projects start with a conversation: what the space looks like, what's changing, what the floor set date is, and what the general direction is for the season. From there we can advise on materials, timelines, and what's realistic given the schedule.

The earlier that conversation happens, the more options you have. The brands whose holiday floors look considered and complete didn't figure it out at the last minute. They made decisions early, when there was still time to get them right.

Frequently Asked Questions

How far in advance should I contact Circle Visual for a holiday project? It depends on scope. A single-location project (fitting room curtains, a window display, a few upholstered fixtures) can often move in 4 to 6 weeks from approved design to delivery. A multi-location or nationwide rollout typically needs 10 to 14 weeks to allow for fabrication volume, freight coordination, and installation scheduling across sites. When in doubt, reach out early. (We like to know what’s coming!) We'll assess your timeline honestly and tell you what's achievable.

What types of custom soft goods does Circle Visual make for holiday retail? We fabricate fitting room curtains, window display elements, upholstered seating and fixtures, fabric-covered display props, banners, oversized bows, and decorative soft goods. Every piece is custom built to spec in our Paterson, NJ studio.

Can Circle Visual handle multi-location holiday rollouts? Yes. We've fabricated and coordinated installation for nationwide rollouts across hundreds of locations. Production timelines for multi-location projects are assessed based on total unit count, site conditions, and installation coordination requirements.

What is the difference between a single-location and multi-location holiday project timeline? A single-location project typically runs 4 to 6 weeks from approved design to delivery. Multi-location rollouts require additional time for production volume, freight logistics, and coordinating installation across multiple sites, typically 10 to 14 weeks depending on the number of locations and complexity of the installation.

If you're starting to think about holiday and want to understand what's possible within your timeline, let's talk. We'll give you an honest read on scope, materials, and scheduling.
